1. Overview

This Privacy Policy explains how Ad Astra AI Systems ("Ad Astra," "we," "us") collects, uses and protects information when you visit this website, submit a form or engage us for an operational audit or implementation services.

It covers the information you and your firm share with us directly. It does not cover how your brokerage's own systems, your CRM, your loan origination system or your document storage, handle borrower data. That is addressed separately on our Data Handling page.

2. Information We Collect

We collect information in two ways.

• Information you provide directly. Your name, work email, phone number, firm name, firm website, team size, monthly loan volume, current CRM and LOS and any message or context you share through our contact form, our audit questionnaire or direct correspondence.
• Information collected automatically. Like most websites, our servers and hosting infrastructure log standard technical information, such as IP address, browser type and pages visited, for security and operational purposes. We do not currently use third-party advertising trackers on this site.

3. How We Use Your Information

We use the information you provide to:

• Respond to your inquiries and schedule calls
• Conduct the operational audit you requested, including calculating pricing based on your stated volume
• Prepare and deliver your written findings report and implementation roadmap
• Communicate with you about your engagement
• Operate and improve this website and our services

We do not use the information you provide through this site to train any AI model.

4. Borrower and Client Data

If you engage us to build or run operational systems for your brokerage, any borrower or client data processed by those systems is handled under the commitments described on our Data Handling page: it remains in your own CRM, LOS and document storage, access is limited to named accounts you control and documents are not retained after processing. Those commitments apply to the operational systems we build, separately from the contact and audit information covered by this policy.

5. How We Share Information

We do not sell your information. We share information only with service providers who help us operate this site and deliver our services, such as form processing, calendar scheduling and payment processing providers and only to the extent necessary for them to perform that function. We do not share your information with unrelated third parties and we do not share it for their independent marketing purposes.

6. Data Retention

We retain the information you provide for as long as reasonably necessary to respond to your inquiry, complete your audit or deliver the services you engaged us for and for a reasonable period afterward in case you follow up. You can ask us to delete information we hold about you at any time, subject to what we are legally required to retain.

7. Your Rights and Choices

You can ask us, at any time, to:

• Tell you what information we hold about you
• Correct inaccurate information
• Delete information we hold about you

8. Data Security

We take reasonable technical and administrative measures to protect the information you share with us, including limiting access to named individuals and using encrypted connections for data submitted through this site. No method of transmission or storage is completely secure and we cannot guarantee absolute security.

9. Cookies and Tracking

This site does not use advertising or cross-site tracking cookies. Standard functional cookies may be used by third-party tools embedded on this site, such as our scheduling or form provider, to allow those tools to work correctly.

10. Children's Privacy

This site and our services are directed at licensed mortgage professionals and businesses. We do not knowingly collect information from anyone under 18.

We may update this policy from time to time. The date at the top of this page reflects the most recent update. Material changes will be reflected here.
